2021 Exhibitor Contract

For those exhibitors who will be joining us for the 2021 DFMC Annual Meeting, please refer to the following details. The Diocesan Fiscal Management Conference (DFMC) Annual Meeting will be held at the Gaylord Opryland Resort and Convention Center, Nashville, Tennessee from October 3-6, 2021, with exhibition hours Monday and Tuesday. The DFMC Board of Directors and its Members welcome you as an important collaborator in our ministry to the Church!

Honoring Returning Exhibitor Partners and Priority

Last year's returning Exhibitor Partners will receive "full protection" on paid renewals received by the DFMC National Office on or before March 22, 2021 with new exhibitors being accommodated thereafter. "Full protection" applies to securing a booth but does not assure the type of booth. Booth types are subject to first come, first served. A concerted effort is made to place booth assignments (a) with spacing between similar exhibitors, where possible; and (b) using total sponsorship levels when multiple exhibitors request the same booth assignments.

In gratitude for hardships endured, 2020 returning exhibitors will receive a 15% discount off 2021 booth fees.

Tuesday: 7:00 am - 2:00 pm

Conference Session Attendance

Exhibitors are invited to attend Catholic liturgies held during the annual meeting. In order to maintain appropriate social distancing, all other events, including speaker sessions, are for DFMC member participants only. Sponsors are welcome to attend their sponsored event. The Exhibit Hall is available exclusively to exhibiting partners (within the limits set forth below) and DFMC member participants.

To promote and facilitate the opportunity for Members to visit EACH of our Exhibitors’ Booths, NO alternative events may be scheduled or sponsored during Exhibition hours or any other scheduled Conference Event.

Types of Booths





Exhibition during prime hours on Monday and Tuesday at the DFMC annual meeting offering important access to DFMC members and guests.

“Full protection” on paid renewals from the previous year. 

Listing in Conference printed, app, and online program.  

One-year listing on DFMC website with link to website.  

Opportunities to sponsor conference events with public recognition and appreciation.  

Invitation to attend Catholic liturgies during the meeting. Sponsors are similarly welcome to attend their sponsored event.   

Four representatives who may be present in the booth during exhibit hours. Up to two (2) additional representatives may be registered for a fee.  

Gifts and/or door prizes are permitted and encouraged at the display. Any prize drawings are to be held on Tuesday, from 1:30 p.m. to 2:00 p.m.  

Access to DFMC’s discounted conference hotel rate.  

The preferred (center) Gold Island location in the exhibit hall.  


One extra representative (for a total of 5) who may be present in the booth during exhibit hours.  


Logo with link to website for one-year in community section of the DFMC website.  


Platinum/Gold Sponsor recognition with Logo in the printed program, on the app and website program, and from the stage during a general session; special recognition in the Fall Herald newsletter.  


4 quarterly Herald ads: one in Fall 2021 and three in the 2022 editions.  


Presenter at two repeating, concurrent sessions during the DFMC annual meeting in Nashville.  



Exhibit Hall Layout

Exhibit Representatives

Each exhibiting firm will be allowed to register up to four (4) representatives who may be present in the booth during exhibit hours and will be responsible for the installation, operation, and removal of the exhibit. (Platinum and Gold Exhibitors’ space will afford up to five (5) representatives). Up to two (2) additional representatives may be registered at $200 each; however, the total on the floor at any given time may not exceed four (five for Platinum and Gold). Exhibit representatives must wear the official DFMC exhibitor badge while in the exhibit hall and throughout the DFMC Conference. All materials distributed within the exhibit booths must represent the services provided by the registered exhibit firm only. Representation of and distribution of materials by or for affiliated firms is not authorized.

Exhibit Set-Up & Break-Down

Exhibits may be installed on Monday, October 4 between 9:00 a.m. and 12:45 p.m. to be complete and in place for the 1:00 p.m. opening of the Exhibition Hall. To facilitate the optimal Exhibition Hall environment, break-down of exhibits may not take place before 2:15 p.m. on Tuesday, October 5.

Exhibitor Badge and Conference Packets

The exhibitor’s packet, including badges and other conference materials, may be picked up at the Ryman Exhibit Hall B-2 Registration Desk starting Monday, October 4 at 7:00 a.m. Photo identification will be required to collect exhibitor name badges. Please note that your company personnel working in the booth cannot enter the exhibit area without the official DFMC conference badge.


Each exhibitor will be provided with a booth (10’ wide by 10’ deep) consisting of 8’ high back drape, 3’ high side rails, and including one draped table, 2 chairs, 1 wastebasket, and a 7” x 44” identification sign. All demonstrations and displays, distribution of literature, samples, or other promotional materials must be confined to the exhibitor’s purchased exhibit space.

Use of Space

While the DFMC will make every effort to provide space as it is laid out by the official show director, the DFMC reserves the right to change booth locations or the physical space layout due to unforeseen circumstances. Audio presentations of any kind must be sufficiently subdued as not to annoy or disturb adjacent exhibitors or their patrons. Aisles, as designated on the exhibit floor plan, must be kept clean, clear, and free of obstruction. Easel stands and signs must not be placed beyond the booth area. Gifts and/or door prizes are permitted and encouraged at the display. Any prize drawings are to be held during the lunch break with members on Tuesday, October 5 from 1:30 p.m. to 2:00 p.m.

Exhibiting Partners are welcome to take advantage of the DFMC's discounted conference hotel rate. Show Decorator and DFMC hotel reservations links are distributed automatically in May via email to each Exhibiting Partner agent. The non-refundable exhibitor fee of $4,100 for Standard Level participation, $9,200 for Gold Level participation, and $16,000 for Platinum Level participation is payable at signing and submission of contract. In gratitude for hardships endured, 2020 returning exhibitors will receive a 15% discount off 2021 booth fees. In order to provide variety for DFMC members, precedence for Platinum booths will be given to exhibitors who have not held the platinum position more than two years in a row. Since booths are distributed on a first come, first served basis (with returning exhibitors having priority with the one-week full protection), we encourage exhibitors to pay by electronic means. If you do pay by check, please make your check payable to Diocesan Fiscal Management Conference (DFMC). With the acceptance of the contract by DFMC, no refund will be made for an unused booth. Payments by credit card will be charged 2.9% credit card processing fee. Acknowledgment is made hereby of the receipt of the Exhibitor Program, which is incorporated with this contract as the governing directives for the show. All booths will be placed and numbered according to the diagram prepared by the official show director. DFMC reserves the right to approve exhibitors to be invited. By action of the Board of Directors, there will only be 60-66 exhibit booths in order to offer appropriate program balance to the Conference. Based on Exhibitor feedback, a “best efforts” attempt to provide Exhibitor area Internet service is being made for Nashville, 2021. Given the vagaries of such wireless service vis-a-vis demand load and other variables, it is recommended that Exhibitors requiring “critical” Internet connection capability for booth purposes seriously consider arranging for wired connectivity through the services package which will be provided.
